This FAQ contains technical knowledge
and 'How To' tips and will develop as
users request information.
How do we know which "Y/E"
files have not come in yet?
- Create a custom attribute "Year
End", with text data type. Set
allowed dates such as 31-Dec, 31-Jan
etc.
- Assign this attribute to all clients
for whom year end work is done.
- Select clients with 31-DEC year end
attribute (using Advanced Find) and
add them to a List called "Y/E
December".
- Create a List called "Y/E December
Received".
- As the client material arrives, add
their name to the "Y/E December
Received" list.
- To find out who has not sent in their
papers, do an Advanced Search, filtering
for members who are on "Y/E December"
but not on "Y/E December Received".
- At the start of a season/cycle, clear
all members from the "Received"
list and ensure that all new clients
have been added to the appropriate "Y/E"
list.
How do we tell a client where we allocated
a payment?
From Client Account Analysis, enter
the cheque number the client sent you
(or part of it). The system will tell
you whether it has been allocated and
if so, which debits it was allocated against.
How do we know which industries we excel
in?
Run a Production by Industry report
to view sales, write-ups and write-downs
by industry.
Which client address is the invoice
defaulting to?
Invoices default to using the Billing
Address, if there is one, otherwise they
use the Default Address. You can change
the address from the Print/Edit Invoices
screen.
How do we track our time against budgets
for work we are doing?
- Set up a Project which describes
the overall work you are doing.
- Create Tasks within the project and
assign them budget hours and/or budget
time.
- As time is charged to the Tasks,
run Budget vs Actual reports from the
Production screen.
How do we invoice different people at
the client's office for different items
of work?
Invoices are created using the default
contact name at the client office. You
can change this, and the invoice address,
from the Print/Edit Invoices screen.
